Privacy Policy

Important: This Privacy Policy explains how information is collected, used, disclosed, retained, and protected when people use GetDotFlow. It should be read together with our Terms of Service. It is a description of our data practices, not a substitute for any consent or authorization required by applicable law.

1. Whose Information This Policy Covers

GetDotFlow is a software platform for managing vehicle inspection records, customer information, fleet information, documents, and related reminders. This Policy applies to information concerning:

A Tenant generally decides what customer, vehicle, inspection, and document information to enter, whom to email, and whom to give access to shared links. GetDotFlow processes that information to provide the service. If a Tenant entered your information and you have a question about an inspection record or the Tenant's decision to contact you, please contact that Tenant. You may also contact us, and we will review your request and, where appropriate, coordinate with the Tenant.

2. Information We Collect

Depending on how the platform is used, we may collect or process:

We do not ask Users to enter payment card numbers or Social Security numbers into inspection records. Because Tenants control some uploaded files and free-text fields, we cannot guarantee that such information will never be submitted. Tenants should avoid uploading information that is unnecessary for their use of GetDotFlow.

3. How We Use Information

We use information as reasonably necessary to:

GetDotFlow is a management tool. Use of the platform by itself does not establish that an inspection, inspector, report, or recordkeeping practice complies with DOT or other legal requirements.

4. When Information Is Disclosed

We may disclose information in the following circumstances:

We do not sell Tenant data or disclose it to third parties for their independent marketing purposes. Service providers and infrastructure providers process information to help operate, deliver, and protect the service, not for their own independent marketing.

5. Email Reminders and Communications

A Tenant may configure or initiate emails concerning inspections, expiring documents, reports, notes, or other account activity. Depending on the feature, emails may be sent using SMTP settings provided by the Tenant.

The Tenant is responsible for entering accurate recipient information, determining whether it has authority to contact the recipient, and ensuring that the content and frequency of its communications comply with applicable law. Service-related reminders and promotional messages may be treated differently under email laws. Tenants should provide any required marketing opt-out method when sending promotional content.

We may also email account administrators about their accounts, support requests, security issues, or material changes to the service.

6. Client Portal and Shared Links

A Tenant may create a link that gives its customer access to selected company, vehicle, inspection, or document information. The information available depends on the link and the features configured by the Tenant.

Anyone who obtains a working shared link may be able to view the information available through that link. Recipients should avoid forwarding links to unauthorized people. Tenants are responsible for choosing recipients, managing links, and using available expiration or revocation controls.

A Tenant may set an expiration date for a Client Portal link where that option is available. Fail Report links are designed to expire after 15 minutes. Expiration of a link does not delete a copy that a recipient previously downloaded or saved.

7. Data Storage and Security

GetDotFlow uses Hostinger-hosted infrastructure. We use administrative, technical, and organizational measures intended to protect information, including encrypted connections for access to the service, password hashing, account access controls, and security logging.

No internet service or storage system can be guaranteed completely secure. Users must protect their credentials and notify us promptly at [email protected] if they believe their account or a shared link has been compromised.

We may update our security measures as the platform develops.

8. Data Retention and Deletion

We generally retain account and Tenant content while an account is active and as needed to provide the service. After termination, we handle deletion requests as follows, subject to legal obligations, dispute preservation, technical limitations, and any written agreement with the Tenant:

These periods describe GetDotFlow's handling of data. They do not replace a Tenant's or motor carrier's separate duty to keep its own legally required records. Tenants should export records they need before requesting deletion or closing an account.

A deletion request cannot recall emails already delivered, PDFs already downloaded, or information independently retained by a recipient. Requests may be sent to [email protected].

9. Access, Correction, and Other Requests

You may contact us to ask about information concerning you or to request access, correction, deletion, or an export, where available and required by applicable law. We may need to verify your identity and authority before acting.

If your information was entered by a Tenant, we may refer the request to that Tenant or work with it to respond. Some information may need to be retained for legal, security, recordkeeping, or dispute-related reasons. Rights and exceptions vary by jurisdiction and by the type of information involved.

10. Cookies and Local Storage

GetDotFlow uses session cookies to support login and account security. The service may also use browser local storage for interface preferences, such as whether a User has viewed a particular changelog notice.

This description will be updated if we add analytics, advertising technologies, embedded third-party content, or other browser storage tools. Browser settings may allow you to restrict cookies, but doing so may prevent account features from working.

11. Security Incidents

If we identify a security incident affecting information in the service, we will investigate it, take appropriate steps to address it, and provide notices when required by applicable law or our agreements. Tenants should notify us promptly if they discover unauthorized access involving their account.

12. Changes to This Policy

We may update this Privacy Policy as the service or our practices change. We will post the revised Policy with a new "Last Updated" date. If a change materially affects how we use or disclose previously collected information, we will provide additional notice or seek consent when required by law.
